Bespoke Golf Experiences Limited, company No.10416755 is registered in the United Kingdom. Your booking with Bespoke Golf Experience Ltd and all matters arising out of it are governed by English Law. The use of our website is based on the terms and conditions contained in this document. In using our website you are clearly indicating your acceptance to be bound by them.
We have taken great care to ensure that the information we have given you, both on our website www.bespokegolfexperiences.com along with our proposal to you, is as accurate as possible. All information is offered as advisory and we will not be held responsible for any misconceptions that may result from its use.
The contract is between the leader of the party and us. The lead name must be 18 years or over and have the authority to make the booking and to accept the terms and conditions on behalf of everyone in your party. The contract is subject to English Law and is binding under the relevant conventions. The contract will commence when we have received your initial deposit and you have received our reservation document. Receipt by us of your deposit acts as a confirmation that you have read and understood the conditions of your booking. We will send you a booking confirmation once reasonable progress has been made in securing your choice of hotel, golf course preferred tee times (if any) method of transportation along with any other service we provide and that you have requested. We will inform you directly if these arrangements take longer than anticipated to organize. Your booking confirmation will clearly show the requested elements of your golf tour, including details of accommodation, golf courses booked and other arrangements involved in the golf tour. All times specified in your proposal are local which will also detail the total cost payable and a payment schedule. If we are unable to secure your preferred tee times or hotel we will contact you immediately.
Booking terms and conditions
We have listed below the booking conditions and procedures in order to ensure they are as clear as possible, whilst continuing our policy of common sense and fair play to you. In these terms and conditions, we/us shall mean Bespoke Golf Experiences and you / the client shall mean the person in whose name the booking is made. That person shall take responsibility for all persons on whose behalf the booking is made.
Deposits and full payments
When reserving your golf holiday we require a minimum deposit payment of £100 per person. We may ask for a larger deposit where we are required to prepay a greater sum to any of our partners to secure your booking. The remaining balance must be paid no later than eight weeks before the start of your golf holiday or at the time of booking if less than eight weeks prior to the commencement date. We cannot conﬁrm bookings until such time as we have received your deposit. We also reserve the right to cancel any booking for which the total price has not been paid by the due date. Full details of how to pay the deposit are clearly shown on the invoice. Payments made by sterling BACS, CHAPS or SWIFT transfer do not incur any charges.
If you wish to pay the deposit and /or outstanding balance by a currency other than Euros, the applicable exchange rate for the currency of your choice to Euros will be as quoted by us on the date that the deposit. When the final payment for your tour is required by us we reserve the right to alter that payment due to any fluctuation between your chosen currency and that of the country you are visiting.
If, after your confirmation has been issued and your deposits have been paid, you wish to make a change, the following amendment fees will apply:
1) If you wish to change the date/destination of your holiday, there will be an amendment fee of £20 per person.
2) If you decide to change anything at all pertaining to your itinerary, ( some examples might be – amend golf tee-times, golf courses, transfer times, hotels) an amendment fee of £10.00 will be levied per change.
3) Should your party require buggies, trolleys or meals, etc they should be requested at the time of your reservation with us. If however they are requested after the reservation, we will levy a £5.00 administration fee, however as payment for these services are required locally Bespoke Golfing Experiences will not accept liability if these services are not provided by the supplier.
Cancellation or amendments made by the client
You may of course change numbers or cancel your golf tour at any time provided that the person who originally booked the tour supplies us with written notification. All amendments are subject to availability and as such, we may not always be able to fulfil your request. If you wish to change the date/destination of your holiday, there will be an amendment fee of £20 per person. Should you decide to change any element pertaining to your itinerary, (some examples might be, amend golf tee-times, golf courses, transfer times, hotels) an amendment fee of £10.00 per person will be levied per change. Any such costs incurred by you will be added to your final invoice.
Cancellation or alteration by us
In the unlikely event that we have to cancel or alter your tour, you will be notified as soon as reasonably possible and offered a full refund or comparable tour if available. We will not be held liable for cancellations due to unusual and unforeseeable circumstances beyond our control. Compensation will not be payable by us if we are forced to cancel or in any way change your tour due to the minimum number of participants not being attained by you, failure on your part to pay the final balance or for reasons of force majeure.
If you or any other member of your party cancel your Bespoke Golf Experiences Ltd you will incur costs as a consequence. The cancellation will only be effective on receipt of written notification by the tour organizer. We think it is not unreasonable to charge for the cancellation of a confirmed booking and so the following fees will apply, depending on when the cancellation occurs.
Eight weeks or more – Deposit only
Eight weeks or less – 100% of your Tour invoice
Depending on the reason for the cancellation, you may be able to reclaim these charges under the terms of your holiday insurance policy. Claims should be made directly to the insurance company concerned and not to Bespoke Golf Experiences. However, we are a responsible company that will always operate in a spirit of fairness and good faith and depending on the circumstances of your cancellation we will seek to obtain a solution with our partners at the appropriate location that may reduce any financial loss incurred by you or any member of your party. This is not a legal obligation on the part of Bespoke Golf Experiences Ltd rather a moral obligation to assist those persons who have had to cancel their tour with us providing that the cancellation occurs less than eight weeks prior to the tour commencement date. Please do not accept this as a guarantee that we will succeed, but rather as a guarantee that we will endeavour to do so.
Circumstances beyond our control
Except where we say differently elsewhere in these conditions, we cannot pay any compensation, reimburse expenses, or cover losses for any amount or otherwise accept responsibility if, as a result of circumstances beyond our control, we have to change your booking after departure, or we, or our suppliers, cannot supply your booking, as we, or they, had agreed, or you suffer any loss or damage of any description. When we refer to circumstances beyond our control, we mean any event that we, or the supplier in question, could not foresee or avoid, even after taking all reasonable care. Such circumstances will usually include, but are not limited to, war, terrorist activity, civil unrest, industrial dispute, bad weather (actual or threatened) and significant building work ongoing outside of your accommodation or Golf Course which is not known to us in advance of your departure date and building work from a third party.
Bad weather policy
In the event of rain, fog or lightning while on the golf courses, the decision to stop or continue to play lies with the golfers, as it is recognized that conditions can change from minute to minute. Golfers on the first tee will be advised of the conditions by the starter. If golfers decide not to start, reasonable endeavours will be made to reschedule either later that day or the following day depending on availability. If golfers decide to play but do not complete 18 holes, refunds will not apply.
Cost excluded from your tour
The price of your golf tour does not include ﬂights, airport taxes, taxi’s, sightseeing, telephone calls, laundry requirements, entertainment arrangements, all meals drinks and beverages, golf club hire, cart or car hire fees, caddies, gratuities and any other items of a personal nature, other than organised by us and subsequently speciﬁed in your booking confirmation.
Your accommodation is usually reserved for you from 3 pm on the day of your arrival. In most cases, rooms must be vacated by 11 am on the last day of your holiday. (Times referred to above are local times). Any star ratings shown on this website are the official local ratings for each property. They do not always provide a consistent guide to quality and cannot be compared from country to country. Most hotels have introduced a Taxe de Séjour which usually only amounts to a few Euros per person per day and is payable locally. As we do not exercise any direct control over the running of the Hotels, Bespoke Golfing Experience Ltd cannot accept liability for any acts or omissions on the part of the management.
You must be fully insured for your holiday and by booking a Bespoke Golfing Experience with us you confirm that you and all members of your party have adequate insurance cover for your trip and all of the activities which you will be carrying out. Insurance is essential when you’re travelling as it provides protection against financial loss resulting from your trip being cancelled or delayed, theft of valuables, medical expenses and even legal or personal liability expenses you may incur whilst on your holiday. Most comprehensive travel insurance policies include an emergency assistance element to ensure that you are cared for and returned home in the event of a medical emergency. Whoever your insurer, you should always check for any exclusion of activities that you might be undertaking.
We do not accept liability where there has been no fault on our part or of our suppliers and where the events complained of are due to circumstances beyond our control or which neither us nor our suppliers, could have foreseen. In the event of any liability being accepted by us, we will not be liable for more than the cost of the tour. If you arrange your travel to your chosen golfing destination by air, rail or sea we cannot accept responsibility for loss or injury suffered by you as the result of acts or omissions of the providers of these services. It is entirely your responsibility to ensure that you make these arrangements through a reputable provider.
Costs and Golf
After having received full payment from you, all cost’s commensurate with those as stated in your booking confirmation will be our responsibility. Any other costs incurred by the client during the holiday will be his or her own responsibility. If any client has a special request, we will do our utmost to satisfy that request, however, please do not accept this as a guarantee that we will succeed, but rather as a guarantee that we will endeavour to do so. Please let us know of your party’s playing standard as some courses do require a handicap certificate about which you will be informed. This information is very useful for us when planning your golf tour. It is also useful for the golf clubs that clients will visit. There are signiﬁcant green fee reductions available for PGA registered professionals at all of the courses featured on the website, please ask for details.
As we do not exercise any direct control over the running of the golf courses we cannot accept liability for any acts or omissions on the part of the golf course management. A handicap certificate is sometimes requested by golf courses at our tour destinations along with a knowledge of golf rules. Each golf course reserves the right to refuse access if it is judged that individuals do not display the required etiquette, ability and/or knowledge. We cannot be held responsible in these circumstances. All decisions regarding partial refunds or green fee vouchers are solely at the discretion of the golf course and are ﬁnal. We cannot be held responsible should inclement weather prevail.
Buggies are available at some of the courses and can be reserved and paid for by us where specifies. The golf course you have chosen to play can decide at any time not to allow their use because of adverse weather or any other reason and we cannot be held responsible for this. We regularly inspect the standard of all of the great courses within our portfolio. Golf course maintenance such as aerating greens and improving drainage will happen from time to time and will often be scheduled at short notice, depending on the weather. Sometimes we are not always made aware of when this will occur. Equally, in particularly dry spells when there are water bans in place, fairways and greens may be burnt and not provide you with the best playing conditions. Events such as these are out of our control and we cannot be held responsible for the condition of the course during your golf tour
Suppliers terms and conditions
Many of the Services (including concierge services) which make up your booking are provided by travel service providers. Those travel service providers provide these services in accordance with their own terms and conditions. Some of these terms and conditions may limit or exclude the suppliers’ liability to you, usually in accordance with applicable international conventions Copies of the terms and conditions of the relevant travel service provider(s) will be provided to you when you make a Booking.
We will at no time be held responsible for the loss or damage to personal items belonging to you or any member of your party. Personal items remain the sole responsibility of the client.
If you or any member of your party has any medical condition or disability that requires assistance, please inform us at the time of accepting our tour quotation. If the diagnosis occurs after you confirm your booking, then please inform us as soon as possible after you become aware. If the supplier in question reasonably feels that they are unable to accommodate the particular needs of the person concerned we reserve the right to cancel your booking. Similarly, if you do not inform us of the details of any such medical condition at the time of booking we reserve the right to cancel your booking.
If you purchase any optional services or activities that are not part of your pre-booked itinerary, the contract for the provision of that service/activity will be between you and the provider. The decision to purchase in any such service is entirely at your own discretion and risk. If you do have any complaint about or problem with, any service purchased your claim should be directed to the activity provider and not to us.
Damage caused by clients
Clients are liable for any breakage, damage or loss to the accommodation and its contents, whether the breakage, damage or loss is accidental or deliberate. All repair, breakage and damage costs must be paid prior to you departing the accommodation. We reserve the right to invoice the client for all breakages, damages or losses that remain unpaid at the time of departure. We also reserve the right to terminate a client’s tour if their behaviour is detrimental to Bespoke Golf Experiences
We do not provide refunds for any unused or partially used portions of the booked itinerary, once the tour has commenced.
Bespoke Golf Experiences Ltd always seek to ensure that we and our suppliers, provide you with a quality service. If for some reason, you are not wholly satisﬁed, we will seek to provide a quality solution. The exception is that your actions led to that dissatisfaction and where unforeseeable circumstances meant that the dissatisfaction could not have been avoided. If you have a problem during your holiday, you must inform the relevant supplier whose service is involved (e.g. your hotelier) or if unable to do so please contact us on +44 (0)203 637 7727, without undue delay after which we will endeavour to correct the issue. However, in the event that the problem cannot be resolved locally and you wish to complain, full details must be sent to us in writing to arrive within 28 days of your return giving your booking reference and all other relevant information. Please keep your letter concise and to the point. If you fail to follow the requirement to report your complaint whilst on holiday, we will have been deprived of the opportunity to investigate and rectify it whilst you were on holiday and this may affect your rights under this booking.
Many of our trips take place in destinations where local conditions vary enormously, and the people we deal with on the ground may be less time-conscious or meticulous in planning than ourselves, and while we will do our best to ensure that your Bespoke Golfing Experience goes according to plan, we ask that those who travel with us do so with a spirit of adventure, in a positive frame of mind, and in good humour.
